Introducing the 2017 – 18 Committee of the Deutscher Klub Gold Coast

Job descriptions and Duties of the Office Bearers and Committee Members of the Deutscher Klub Gold Coast –

please read and consider your active involvement in the Committee of the Deutscher Klub Gold Coast

 

President:

The duties of the President include, but are not limited to:

  • Overall responsibility of the operation of the Club and Clubhouse
  • Overall responsibility of compliance in accordance with Legislation and Club Regulations
  • Recognise and action on all needs arising from the Club, Members, Clubhouse and related aspects 
  • Represent the Club at official Functions, internal and external
  • Recognise and arrange all Maintenance Needs for the Club Premises, often in conjunction with Vice President
  • Stay abreast of all Legislation pertaining to the Club and assure that Legislation is implemented and adhered to.
  • Conduct monthly Committee Meetings and extra ordinary Meetings on a need base
  • Conduct Fire and Evacuation Training on a need to base
  • Average weekly time required  – above 20 hours

 

Vice President:

The duties of the Vice President include, but are not limited to:

  • Take over the duties of the President in his / her absence
  • Manage all aspects of the Beverage Operation of the Club
  • Procure all Beverages for the Club – alcoholic and non alcoholic
  • Procure all Beverage related items, such as Glassware, Cleaning products, etc 
  • Compare pricing for items and select best buys
  • Communicate with Suppliers of above products
  • Take delivery of supplies, administer stock rotation
  • Maintain Beer Lines and Beverage equipment on a need base
  • Assure Quality Control of all Beverages and Beverage related items
  • Assure highest level of cleanliness of Bar and related areas
  • Manage Health and Safety Procedures in relation to Beverage and General Operations  
  • Assist in the daily operation of the Club when required to do so
  • Take on Duty Managers Shifts when required to do so
  • Average weekly time required  – 12 to 15 hours, plus Duty Managers Shifts

 

Treasurer:

The duties of the Treasurer include, but are not limited to:

  • Responsibility for all financial affairs of the Club
  • Accounting and balancing cashbook
  • Balance and reload ATM machine 
  • Weekly cash counts
  • Reconcile revenue and EFT transfers
  • Make up Register Floats
  • Assure adequate amounts of change are in Stock
  • Bank all monies
  • Check employee time sheets, calculate and pay wages
  • Check and pay of all invoices
  • Have active input towards all financial discussion and decisions of the Club
  • Take on Duty Managers Shifts when required to do so
  • Average weekly time required  –  20 hours, plus Duty Managers Shift

 

Secretary:

The duties of the Secretary include, but are not limited to:

  • Responsibility for all correspondence of the Club
  • Assist Treasurer with weekly Cash counts and related Account Duties
  • Maintain the Membership Data base (electronic Database Program knowledge is a must)
  • Process Membership queries, new Member applications and consequent actions thereof
  • Keeping records of all incoming and outgoing mail and presenting this at Committee Meetings
  • Attend Committee and extra ordinary Meeting and take minutes thereof
  • Distribute relevant information to Committee Members and general Membership as required
  • Distribute printed Material such as News Letters, Flyers etc 
  • Take on Duty Managers Shifts when required to do so
  • Average weekly time required—20 hours, plus Duty Managers Shift
  • A very good working knowledge of Microsoft Office is required for this position

  

Committee Member –  general:

The duties of a Committee Member include, but are not limited to:

  • Represent the Club and its interests in a friendly and professional / business like manner, both internal and external
  • Hold a current RSA License
  • Assist in all matters of Club Operation
  • Attend to all Committee meetings and extra ordinary meetings
  • Have a good comprehension and operating level of PC’s and similar electronic equipment
  • Partake in decorating the Club House for special events and functions
  • Distribute all printed Materials such as News Letters, Flyers etc 
  • Take on Duty Managers Shifts when required to do so
  • Average weekly time required  –  depending on Portfolio, plus Duty Managers Shift

 

Duty Manager Duties:

The duties of the Duty Manager include, but are not limited to:

  • Assure that overall Club premises are safe and secure at all times
  • Unlock and Lock Premises as required
  • Distribute Cash Floats to Staff
  • Close Cash Registers at end of Trade and secure Funds
  • Assure that all Club areas are clean and sanitised, in particular all public and common areas
  • Liaise with Caretaker on commencement of Shift to exchange daily business information
  • Assist Staff members in the service of Guests as required
  • Exchange Beer Kegs as required
  • Observe Staff performance and make recommendations to Committee
  • Assure Waste Management Benchmarks are adhered to
  • Average weekly time required  –  15 hours

 

Committee Members  – Portfolio

Reception  –

The duties of the Reception Portfolio include, but are not limited to:

  • Check in all Guests and Members into the Club when entering and maintain the Register
  • Responsibility for all Restaurant and Events Booking
  • Take enquiries in all matters relating to the Club
  • Liaise with Kitchen and Bar in relation to bookings, special events, etc
  • Collect Membership, Renewal and other Forms relating to the Club
  • Attending to the Club’s mobile Phone 24 / 7
  • Take on Duty Managers Shifts when required to do so
  • Average weekly time required  –  15 hours, plus Duty Managers Shift

 

Kitchen – Chef

The duties of the Chef in Charge include, but are not limited to:

  • Plan, prepare and maintain excellent standards of food preparation and presentation for a range of meal types, as expected in any commercial kitchen (Commercial Cookery Certificate required)
  • Display genuine interest and knowledge of German and German-speaking countries principle Foods and their Gastronomy.
  • Procure all food stocks and non food related items, meeting an industry accepted quality / price ratio
  • Ensure appropriate staff coverage in Kitchen and Restaurant
  • Ensure quality and cost control of all Catering aspects
  • Ensure compliance with local Food Safety and public Health Regulations and Legislations
  • Hold a Certificate in Food Safety Supervision
  • Hold training sessions where required to enhance all Staff performances
  • Be responsible for a petty Cash Box and its Transactions
  • Work “Hands on”, leading the Brigade by example and positive manner
  • Be able to work under pressure to meet and exceed Guest expectations
  • Maintain a specials Board making use of seasonal and discounted Food stuff to maximise outcomes
  • Attend all Committee Meeting and extra ordinary Meetings

 

Events & Entertainment Organiser:

The duties of the Events & Entertainment Organiser include, but are not limited to:

  • Planning, organising and executing Promotions and Events
  • Researching promotional and business opportunities to raise the Clubs profile and increase positive exposure
  • Co-ordinate Events and Functions in conjunction with related Portfolios (Kitchen—Bar– Administration)
  • Research and identify Entertainment options and activities to increase patronage to the Club, especially Midweek
  • Research and suggest Artists and Bands to increase variety in the Entertainment Selection   
  • Attend all Committee Meeting and extra ordinary Meetings
  • Take on Duty Managers Shifts when required to do so
  • Average weekly time required  –  12 to 20 hours, depending on Club activity and special Events

 

Media Assistant:

The duties of the Media Assistant include, but are not limited to:

  • Have a sound operating knowledge of social media Applications—Face Book, Twitter , Instagram
  • Have a sound operating knowledge of a publishing program, such as MS Publisher, Scribus, Lucid Press, etc
  • Have a sound operating knowledge of WordPress and similar plug ins for Website design and Maintenance
  • Have good command of English language and reasonable knowledge of German language.  
  • Possess a Digital Camera (not Phone) and ability to take and manipulate Photos by size, conversion, etc
  • Maintain and manage all aspects of the Website of the Deutscher Klub Gold Coast
  • Maintain and manage News feed and updates of events, plus create interest in the activities of the Club by publishing Articles, Photos, Comments, etc on social media (FB, Twitter, Instagram, Trip Advisor)
  • Administer weekly changes and to the Bulletin Advertising (deadline each Wednesday, midday)
  • Assist in developing any material and templates required by the Committee for the operation and progress of the Club, including but not limited to: publications, flyers, posters, menu, promotional materials.
  • Attend all Committee Meeting and extra ordinary Meetings
  • Average weekly time required  –  12 to 20 hours, depending on Club activity and special Events
